How to Manage WhatsApp Enquiries With Multiple Salespeople

Colleagues discussing work in a bright office

It is awkward when a customer receives two different replies from the same business. It is worse when nobody replies because each salesperson assumes someone else is handling the conversation. Both problems can happen when a shared inbox has no clear ownership.

To manage WhatsApp enquiries with multiple salespeople, I would give each enquiry one accountable owner while keeping the relevant history available to permitted staff. Assignment should tell the team who is responsible. It should also carry the next action, so the customer does not disappear between people when a lead is reassigned.

Decide who receives each new enquiry

Decide how responsibility is allocated before the inbox becomes busy. You might route by service, location or available capacity. Keep the rule simple enough that employees understand why a conversation has reached them.

There should also be an owner for the unassigned queue. Otherwise, an enquiry that falls outside the normal rule can sit waiting while everyone works on their own list. Absence cover needs the same clarity.

I would keep assignment separate from sales stage. A lead can belong to a closer without having received a call or useful reply. If assignment automatically looks like sales progress, the report can conceal untouched enquiries.

Make responsibility visible in the conversation and customer record. Another employee should be able to see who is handling the request, while access remains appropriate to their role. If someone helps with a question, record that help without creating a second competing owner.

Keep the conversation with the customer record

Link WhatsApp history to the CRM lead and related appointments or tasks. Record the service requested, important answers and current next step. A closer should be able to understand the situation without asking a colleague to forward screenshots.

Use a consistent identity when replying. Introduce the person handling the conversation and retain the business context. Do not present one employee’s personal number as the only place the customer can obtain service if the business needs continuity across staff.

Define a complete handover

When a lead is reassigned, review conversation ownership, open follow-ups, future appointments and relevant enquiries. The new closer needs the history and responsibilities associated with the sale. Historical authorship of past messages should remain accurate; transferring responsibility does not mean rewriting who originally sent them.

Add a concise handover note: customer need, outstanding question, agreed date and next action. Notify the new owner and remove obsolete responsibility from the previous owner. Verify that the customer is not contacted twice by competing follow-up sequences.

Make notifications actionable

Alerts should identify the work requiring attention and open the relevant conversation. Employees should receive messages appropriate to their responsibilities, not an uncontrolled stream of every customer’s activity. Test phone permissions and delivery on supported devices.

Maintain an in-app unread list as well, since operating-system settings or connectivity can affect push delivery. Use an escalation process for enquiries that remain unanswered beyond staffed expectations. Read setting a practical enquiry response target.

Standardise helpful replies without making them rigid

Prepare approved quick responses for common service questions and let staff personalise permitted fields. Review prices, coverage and booking information regularly. Stop automation when a human conversation needs a different path.

Measure response time, unresolved conversations, bookings and customer outcomes by owner and source. Use the figures to improve process and staffing, not simply to reward message volume. Compare the Business App and Business Platform when selecting the supporting tools.

What a complete reassignment should look like

Imagine a customer has discussed a service, received an initial quote and booked a call. The lead is then reassigned. Changing only the name on the CRM card is not enough if the previous employee still owns the conversation, reminder and follow-up task.

The new closer needs the customer’s request, important answers, current quote and agreed appointment. They also need to know the next action and any outstanding promise. A short handover note can make this clear without copying every message into another document.

Historical authorship should stay accurate. If an employee sent a message yesterday, that record should still show who sent it. Transferring responsibility means changing who handles the work now, not rewriting the past.

Check the notifications too. The new owner should receive the alert for relevant replies, and the old owner should not continue receiving tasks that no longer belong to them. Stop overlapping automated sequences that could contact the customer twice.

I would test this with a labelled internal enquiry before relying on it. Include a future booking and an open task, then see whether the handover works from the customer’s record rather than only one inbox screen.

Frequently asked questions

Should every salesperson see every conversation?

Access should match their role and responsibilities. Shared visibility can help continuity, but it should be deliberately configured rather than assumed.

Does assignment mean the lead is contacted?

No. Assignment identifies responsibility. Contacted should mean a defined contact event actually occurred, with the outcome recorded.

What should transfer during reassignment?

Relevant conversation responsibility, open follow-ups, linked future appointments and sales context should follow the lead, while historical records remain accurate.
